AI proposal writing: how Nepfy drafts a client proposal from your brief

Give the AI what you already have after the call: a brief, pasted notes, an old PDF or the meeting itself. It writes the first draft; your prices and dates stay exactly as you typed them.

An AI-written proposal draft next to the brief and numbers it was written from

AI proposal writing works best when the AI handles the writing and you keep the facts. Feed it what you already have after the discovery call: a brief, pasted notes, the PDF of a proposal you've sent before, or the meeting itself. It organizes that into a first draft. Your prices, dates and testimonials go in exactly as you typed them, and your job becomes editing.

Where does the time actually go?

Into turning a conversation into a document. After a good call you already know the client's problem, what they want to fix, the deadline they mentioned and the number that makes sense.

The slow part is organizing all of it, writing it clearly, formatting it so it looks professional, and making it sound written for this client rather than pasted from the last one. That's the part AI is good at. Judgment about scope and price is the part it shouldn't touch.

What should you give the AI?

The draft is only as good as the input. Specific notes produce a specific proposal, and vague notes produce a generic one.

In Nepfy, AI writing happens in the Write with AI flow, before you open the editor. The step called The project has three parts:

About the project and the client. One open field: who the client is, what they're trying to fix, what you agreed on the call, anything about their business that matters. This is the raw material for the whole proposal.

Tone of voice. Professional, Direct or Sophisticated. It sets the register of the entire draft to match you and the person reading it.

The numbers. Price and timeline go here and land in the proposal exactly as you typed them. The AI never changes an amount.

Instead of typing a brief, you can paste text, import the PDF of a proposal you already send, or, on Pro and Studio, start from a call captured by the meeting extension. The PDF is read in your browser, so the file never leaves your computer. Only the extracted text goes to the AI. See the full proposal flow in Nepfy.

How does the brief become a proposal?

Before anything is written, a block called What it will write shows the plan for each section: Will be written, Waiting for you, or hidden. Sections without input are born hidden instead of being filled with made-up text. You switch them on when you have something to put there.

You click Write proposal, then review the result on the Here is your proposal screen. Nothing is saved until you choose Open editor. From there you edit anything you want and publish.

Each proposal written this way uses one AI generation from your plan: 50 a month on Pro and 250 on Studio. Starter has no AI generations.

What should AI never write in a proposal?

Facts. A good rule for any AI proposal generator: the AI drafts the argument, and you supply the evidence.

  • Prices and payment terms. A wrong number in a signed proposal is your problem, not the tool's.
  • Dates and deadlines. Only you know your calendar.
  • Testimonials and results. A quote or a case study number has to come from a real client, word for word.

If a tool fills those in for you, treat the draft as fiction until you've checked every line.

Why does a better brief beat a better prompt?

Because the AI can't invent what it doesn't know about your client, and it shouldn't try. If the brief says "website redesign for a dental practice," you'll get a proposal that could go to any dental practice.

Write what the client actually said: the problem in their words, what they tried before, what success looks like to them, who else signs off. The draft will read like it came from someone who knows the account, because the input did.

What does the workflow look like before and after?

Before: discovery call, scattered notes, a proposal written from scratch late at night, sent the next day as a PDF with no idea whether it was opened.

After: discovery call, a brief written while the details are fresh, an AI first draft, a review, and a link sent the same day. Once it's out, you see when the proposal was opened and how far the client read.

Speed matters because attention fades. A proposal that arrives while the call is still on the client's mind meets them in the middle of the decision, before another vendor or another priority takes the slot. If time is your bottleneck, the business proposal guide shows the sections worth drafting first.

For the simplest way to do this, Nepfy writes the first draft from a brief, a PDF or a meeting and keeps your prices and dates exactly as you typed them. AI writing starts on Pro, at $29 a month, with a fixed price and no per-seat charges. Start free: 14 days of Pro, no credit card.

Frequently asked questions

Can AI write a whole business proposal?

It can write a solid first draft from a good brief. You still decide the scope, set the price and review every section before it goes out.

Will the AI change my prices?

Not in Nepfy. Numbers go in exactly as you typed them, including when you import a PDF.

Is AI-written proposal content generic?

Only when the input is generic. The more specific your notes about the client, the more specific the draft.
